Accepting an invitation to a workspace

Open the invitation email, then either create your login with a new password or, if you already have one in that organisation, confirm it with your existing password.

When an Owner or Admin invites you (from Settings, Members), you receive an email naming who invited you, the organisation, the workspace and your role. Its button opens the invitation page, "Join {workspace}". The invitation is valid for 7 days and works once.

Before you start

  • Open the link on the device where you want to work; accepting signs you in there.
  • If you are already logged in to OmniBrand in that browser with another login, the invitation still works: you end up signed in as the invited person.

Accepting with Google, Facebook or Microsoft

  • The invitation page also shows Continue with Google, Continue with Facebook and Continue with Microsoft (the providers set up on your OmniBrand). Click one and choose the account whose email address is the invited one: the invitation is accepted with nothing to type. A new login takes your name from that account and has no password (set one later with Forgot your password? on the log-in page); an existing login joins the workspace and keeps its password.
  • "This invitation is for another email address. Continue with the account that uses the invited address, or set a password instead.": you chose an account with a different address. Choose the invited one, or use the fields below.

Step by step: you have no login in that organisation yet

  1. Click the button in the invitation email. The page says "{organisation} invited {your email} to the {workspace} workspace as {role}. Choose a name and a password to finish." and "This invitation expires on {date}."
  2. Enter Your name.
  3. Choose a Password: at least 10 characters, not one of the common passwords, not a straight run or keyboard row, and not containing your name or email.
  4. Read the sentence "By creating your account you agree to the Terms of Service and the Privacy Policy." and click Accept and sign in.
  5. You are signed in and land in that workspace's Inbox.

Step by step: you already have a login in that organisation

This happens when you already work in another workspace of the same organisation and are now invited to one more. 1. Click the button in the invitation email. The page shows: "You already have an OmniBrand login for this address. Enter its password to add this workspace to it - the password does not change." 2. In Your OmniBrand password, type the password you already log in with. There is no name field: your login keeps the name it already has. 3. Click Accept invitation. The workspace is added to your login and you land in its Inbox. Switch between your workspaces with the switcher in the header.

Fields and options

  • Your name: how your team sees you. Asked only when you are creating a new login; change it later on Your account.
  • Password: a new login's password, at least 10 characters.
  • Your OmniBrand password: shown instead of Password when your login already exists; it proves the invitation is being accepted by you.
  • The language selector (globe) at the top: the language you accept in becomes your login's language for emails.

If something goes wrong

  • "This invitation link is invalid, expired or already used. Ask your admin to send a new one." The 7 days have passed, it was already accepted, or it was withdrawn. Ask the person who invited you to click Resend in Settings, Members.
  • "That is not the password for this login. Use the password you already sign in to OmniBrand with." You typed the wrong password for your existing login; the invitation stays open, so type it again. Too many wrong tries lock the address for a while, as on the log-in page; if you forgot it, use Forgot your password? on the log-in page first.
  • "Sign in and switch to it from the workspace menu." You are already a member of that workspace; just log in.
  • "Ask an administrator of this account to re-enable it." Your login in that organisation was disabled.
  • "Your plan's limit for this is used up." The workspace has no free member seat left on its plan; the person who invited you needs to free a seat or upgrade.
  • "The password must be at least 10 characters." or "That password is too easy to guess: ...": choose a stronger password.
  • "Enter your name.": a new login needs Your name.

Good to know

  • A login belongs to one organisation. If your email already has a login in a different organisation, accepting creates a separate login in this one, with the new password you choose here. When you then log in and both passwords are the same, the log-in page asks which organisation to open.
  • Your role (Owner, Admin, Editor, Reviewer, Viewer or Agent) is per workspace; see Roles and inviting your team.
