Editing a content item: variants, accounts, scheduling and client review
The page of one content item: status buttons, AI generate variants, editing with autosave and history, post targets per account, client review link, retract and comments.
Open an item from Content with Open editor → or its title. The page (/app/content/(item id)) shows the item's title and status, the actions for the whole item, AI generate variants, every variant with its preview and its accounts (post targets), and the comments.
Actions for the whole item
- → (status) buttons — move the item's status label: from Draft to In review or Archived; from In review to Approved (needs the Approve task), Draft or Archived (→ Draft takes the post back out of review: every account still waiting for approval returns to Draft and its open request is withdrawn); from Approved to Scheduled or Archived; from Scheduled to Published or Archived; from Published to Archived. They only change the label; nothing is published or scheduled by them.
- Save as template — saves the item's title, the first variant's text and hashtags and the list of platforms as a template, shown on the Content page. Media is not included.
- Client review link (Draft and In review items only) — creates a link your client can open without an account, and copies it: "Review link copied: (link) (valid 14 days)". A Draft item moves to In review. The client sees the content and presses Approve or Request changes, with an optional note. The link works once. You get a notification ("Client approved your content" or "Client requested changes", with the note). Approve moves an item that is In review to Approved; it does not publish anything.
- Retract from all N accounts (only when the post is live on at least one account) — asks "Retract this post from N accounts?" and lists them. Retract everywhere deletes it on each platform that allows deleting; Keep the post cancels. The result lists each account as deleted, already gone or could not be deleted; accounts without a delete option are named ("Still live on … - remove it there yourself."). The record and its metrics stay, and those accounts go back to Draft.
AI generate variants
- Type a Brief - what should this post say?
- Pick the platform (the list holds the platforms of your connected accounts).
- Pick how many: 1 variant to 5 variants.
- Press Generate. New variants are added to the item. Needs AI access; see What the AI features need.
Editing a variant
- Press Edit on the variant.
- Change the caption, the Hashtags (comma separated), the media under Attach media (N selected) (click thumbnails from your media library to select or unselect), and Evergreen (eligible for automatic recycling).
- Changes save by themselves 2 seconds after you stop typing (Saving…, then Saved ✓). If a save is refused you see Not saved and, under the buttons, the reason in red; your text stays in the box. Save saves and closes; Cancel closes.
- History lists the last 20 saved versions ("Revision history (latest 20)") with time and the start of the text; Restore puts one back.
Editing is refused while an account of this variant is Scheduled, Publishing or Retrying. Editing a variant that is Awaiting approval, Approved or Failed sends that account back to Draft, so the new text is checked and approved again. See Post statuses.
Accounts (post targets)
Under each variant: 1. Pick the account in the list (platform · name). For Pinterest, also pick the board in Pick a board…; for Reddit, type the subreddit (for example r/test). 2. Press + Post target. A row appears with the status Draft. 3. Press Validate. The platform's rules are checked: the row becomes Awaiting approval, or Needs a fix with the problems listed in amber. 4. Approve it: - Workspace without an approval chain: press Approve (needs the Approve task). The row becomes Approved. - Workspace with an approval chain: press Request approval (needs the Create task). The request goes to Approvals and the row shows "Waiting for "(step name)"". Approvers can press Approve here or on the Approvals page; the row becomes Approved after the last step. A member who cannot request approval sees "Waiting for someone who can create posts to request approval". 5. Press Publish now, or pick a date and time and press Schedule. The date and time are in your browser's time zone, named next to the field. suggested: offers up to three times from your engagement history (or industry defaults when there is not enough history); click one to fill the field. 6. When the row is Published: View post opens it on the platform, Collect metrics fetches impressions, likes and comments now.
The page refreshes every 3 seconds while a row is Checking or Publishing ("working…").
Comments and activity
At the bottom, Comments lets the team discuss the item; type @ to mention a teammate. Activity lists what happened to the item.
If something goes wrong
- "That post isn't here" — deleted, or it belongs to another workspace; open it from the Content list.
- "Connect a social account first", "Pick a Pinterest board first", "Enter a subreddit first" — complete that field before + Post target.
- "This post is scheduled on 1 channel. Unschedule it first (click it on the Calendar, then Unschedule), then edit it - editing sends it back to draft for a new approval." (or "…is about to publish / publishing right now / waiting to retry after a failed attempt…, so it cannot be edited now") — see Post statuses for how to change it.
- "This workspace has an approval chain, so this post needs an approval request before anyone can approve it. Click Request approval on the post first…" — press Request approval on the row; approvers then decide it.
- "Check this post first (Validate). Approval can be requested once it has passed its checks." — press Validate before Request approval.
- "The step "(name)" is decided by reviewers, admins and owners. Your role cannot decide it." — ask a reviewer or an admin to approve it.
- "Cannot request client review while the item is (status)" — review links are only for Draft and In review items.
Good to know
- The date and time you type next to Schedule on this page are read in your browser's time zone, the same as in Create and the Calendar.
- Whoever creates a review link receives the client's answer.
