Create: write one post and send it to several accounts
Every field and button of the Create screen: accounts, brief, AI helpers, hashtags, media, per-account versions, pre-flight checks, timing and approval.
Create (/app/create) is where you write a post once and send it to several connected accounts in one go. You write on the left; on the right you see the exact preview for each account you picked and the Pre-flight checks. The screen needs the Create task (Owners, Admins and Editors have it by default); members without it do not see Create in the menu. Sending also needs one of those three roles: a Reviewer or Viewer who is given the task sees the screen, but every send is refused.
Before you start
- At least one connected account. With none, the screen says No accounts are connected yet. Owners and admins get a Connect an account button; other members are asked to have an owner or admin connect one. See Connect an account.
- WhatsApp and other messaging-only accounts are not offered here; you use them from the Inbox.
- The buttons marked ✦ use AI and need either your own AI key or included AI. See What the AI features need.
Step by step
- Open Create in the menu.
- Under Post to, click each account you want. A picked account is highlighted and shows a counter such as
120/280(characters used / that account's limit). Click it again to drop it. - Optional: type one line about the post in Brief (for example the offer, the price and the deadline) and press Write it or Enter. The AI writes the text and the hashtags. If it also writes the other language, a bar appears (Arabic version ready or English version ready) with Add below (adds it under your text) and Use instead (replaces your text).
- Write or correct the main text in the large box. The ✦ buttons above it rewrite what is in the box (see the list below).
- Type hashtags in Hashtags, or press # Hashtags to have them suggested.
- Add pictures or a video under Media with Generate image, Add from library, Upload or Stock photos.
- Check each account's preview on the right. To give one account different text, click its tab and type in the (account)-only version box.
- Under When, choose Schedule for later and set Date & time, or choose Publish now.
- If your workspace has an approval chain, you may write a Note for approvers (optional).
- Press the main button at the bottom right, or Save draft to keep it without sending.
Fields and options
- Post to — the accounts this post goes to. At most 20 accounts per post; with more you see "Pick at most 20 accounts for one post; split the rest into a second post." An account whose connection was revoked shows a red Reconnect label and cannot be picked. The line above the chips says Fits every connected account. or N of M accounts can take this post as it is.
- Account warning chips — needs video (the account only takes video), needs media (the account needs an image or video), no video (the account cannot take video; it will post the text and images only), too long (text plus hashtags is over that account's limit). Hover a chip for the full sentence. These are advice; only too long blocks sending.
- Brief — one line of facts. The AI uses only what you write there; it does not invent prices or dates. Up to 2,000 characters.
- ✦ Improve — clearer and more engaging, same meaning, about the same length, same language.
- ✦ Shorten for X — rewrites for X (under 270 characters including hashtags, at most one hashtag). If X accounts are picked, the result goes into their own X version; otherwise it replaces the main text.
- ✦ Arabic version (shown when the app is in English) or ✦ English version (shown when the app is in Arabic) — translates the text and replaces it.
- ✦ Warmer tone — more personal, still professional, same length.
- Main text box — "What do you want to say? Write it once; you can adapt it per account on the right." Up to 10,000 characters are stored; above that you see "Your text is N characters; posts are capped at 10000."
- Hashtags — separate with spaces or commas; the # is optional. Hashtags count toward each account's length. # Hashtags suggests tags from the main text and replaces what is in the field.
- Media — thumbnails of what is attached; ✕ removes one. Upload takes one image, or one MP4, MOV or WebM video, at a time, up to 50 MB (the same types as the Media page). Add from library opens the Media library picker: click items to select or unselect, Approved only shows only images approved in AI Studio (they carry an Approved badge), Upload new adds a file, Done closes. Stock photos appears only when a stock photo service is set up for OmniBrand.
- Alt text line (when images are attached) — N without alt text with ✦ Write alt text, which writes a description for every attached image that has none; or Alt text on every image.
- Generate an image window — What should the picture show? (pre-filled from the brief or your first line), Format (Story / Reel 9:16, Feed 4:5, Square 1:1, Wide 16:9), How many (×1, ×2, ×4), Style (Any style, Promo / offer poster, Photo, Lifestyle, Cinematic, Product shot, Illustration, Flat design, 3D render), then ✦ Generate. Each result shows Generating… and then the picture with Add to post (becomes ✓ Added). Generated pictures are saved in the media library and the request also appears in AI Studio's chat list; Continue in AI Studio opens it there.
- Find a stock photo window — Provider (when there is more than one), a search box, Search; click a photo to save it in your library and attach it. "Free to use. Crediting the photographer is required by most providers." The confirmation names the photographer to credit.
- Preview panel — one tab per picked account; a small dot on a tab means that account has its own text. The (account)-only version box: "Leave empty to use the main text. Type here to customise this account only." Its counter shows that account's length and limit. The three ✦ buttons under it act on that account's version only. Empty the box to go back to the main text.
- Pre-flight — runs a moment after you stop typing: each picked account's platform rules and your brand rules. A red ✕ is an error, an amber ! is a warning. All checks pass when nothing is found. "Pick an account and the checks run here." when nothing is picked.
- When — Schedule for later (the default, filled in with the first full hour at least 30 minutes from now) or Publish now. Publish now is listed only if you have the Publish task, with or without an approval chain.
- Date & time · (time zone) — shown for Schedule for later; the time is in your browser's time zone, named in the label.
- Best time — the next slot when your own accounts got the most engagement ("from your accounts' own results"); it says Suggested time when there is not enough history yet. Use it fills in the date and time.
- Note for approvers (optional) — up to 500 characters; shown only when the workspace has an approval chain.
- Approval line (bottom left) — "You can publish directly. No approval step applies to your posts." (no chain) or "Approval: (steps). When the last step approves, it publishes at the time you chose - or straight away for Publish now." (chain configured under Settings, Approvals).
- Save draft — available as soon as one account is picked.
- Main button — Publish now or Schedule when there is no approval chain; Send for approval or Schedule & request approval when there is one. It stays grey until at least one account is picked, there is text or media, no picked account is over its limit, the text is at most 10,000 characters and at most 20 accounts are picked.
What happens next
- Every send creates one content item, with one version (variant) per account. Its title is the first line of your text (up to 72 characters). You find it under Content.
- Save draft: "Draft saved — Find it under Records → Drafts." Nothing is checked or sent.
- Any other button first checks every account against its platform's rules. If one refuses, you see "Some accounts rejected the post. Fix the issues below and try again from the content item." with the problems per account and Open the content item to edit each version →. Nothing is scheduled or sent; the item stays a draft.
- With an approval chain: "Sent for approval — Approvers have been notified. It publishes automatically once approved." The content item is In review. When the last step approves it, a scheduled post goes out at its time and a Publish now post goes out straight away. If it is approved after the chosen time has passed, it goes out immediately.
- Without a chain and Schedule: "Scheduled — N accounts will publish at the chosen time." The Calendar opens.
- Without a chain and Publish now: "Publishing now — Watch it land under Records." Publish now needs the Publish task, with or without an approval chain; without it nothing is created.
- Until you send, your text, hashtags, accounts and media are kept in this browser for this workspace (Draft saved locally next to the title), so a refresh loses nothing. Teammates and your other devices do not see it. It is cleared once you send or save a draft.
If something goes wrong
- "Write something first" — the ✦ buttons need text in the box.
- "AI could not help with that", "Could not write from the brief", "No hashtag suggestions" or "Image generation failed" — the reason is shown under the title; usually AI access is missing or used up. See What the AI features need.
- "Upload failed" — the file is over 50 MB, is not an image or video, is an SVG ("SVG uploads are not supported; use PNG, JPEG or WebP"), or your account's storage is full ("Storage limit reached (N GB). Delete media you no longer need.").
- An account shows Reconnect — its connection was revoked. See Account needs reconnecting.
- "Your role cannot publish to (platform) in this workspace (requires ROLE)" — an admin restricted that platform to a higher role.
- "scheduledAt must be in the future" or "scheduledAt must be within one year from now" — pick a later time, or one within a year. This is checked before anything is created, with or without an approval chain.
- "The checks could not run right now. The platform still validates when you schedule." — the pre-flight service did not answer; you can still send, and the checks run then.
- The main button stays grey — see the conditions under Main button above.
Good to know
- The counter on each account counts the text plus the hashtags plus the blank line between them (2 characters).
- Shorten for X works even when no X account is picked; then it rewrites the main text.
- To change a post after sending it, open its content item: see Editing a content item and Post statuses.
- The OmniBrand browser extension can open this screen with text taken from the page you are on. It only fills the box; nothing is sent until you press a button.
