The Bookings page
Every appointment, table and visit your inbox bots booked: mark who came or did not come, cancel, and open the chat.
Bookings is your calendar of what your inbox bots booked — clinic appointments, restaurant tables, salon services, property viewings, campus visits. Reception reads today's list here and marks who came. Open it from the menu group Engage → Bookings (/app/bookings).
Bookings are created only by bots; there is no button to add a booking by hand on this page.
Before you start
- A booking bot must be connected to your inbox. Until then the page shows No bookings in this period — to get one, ask OmniBrand support (how to get a bot).
- To see the list you need permission to read the inbox. To change a status you need permission to reply in the inbox (Owner, Admin, Editor or Agent). Without it, the Change status menu is not shown.
Step by step: mark who came
- Open Bookings.
- In From, pick the first day you want to see (it starts at today).
- In Show, choose 7 days, 31 days or 90 days.
- Find the booking in the list (earliest first).
- In its Change status menu on the right, choose Came or Did not come. The badge in Status changes at once. These two choices are greyed out until the booking's start time has passed (hover over the menu: "Came and Did not come can be set once the booking has started.").
Fields and options
- From — the first day of the list, from midnight in your device's time zone. Default: today.
- Times in {time zone} (the business's time zone) — the line above the list names the time zone the times are shown in.
- Show — how many days from From: 7 days (default), 31 days or 90 days.
- Refresh — loads the list again; use it to see bookings made since you opened the page.
- {n} booking(s) — how many bookings are in the period shown.
- When — date and time the booking starts, in the business's time zone (see "Time zone").
- With / what — the doctor, stylist, seating area or agent, the service, and {n} people for tables — whatever the bot asked for.
- Customer — the name and phone number the customer gave the bot (or from their contact profile).
- Status — Confirmed (green), Came, Did not come or Cancelled (red).
- Change status — the menu near the end of the row that shows the booking's current status; pick another of the four statuses in it. It has no heading of its own (screen readers announce it as Change status). Shown only to members who may reply in the inbox.
- Open chat — opens the customer's conversation in the Inbox. It appears only when the booking was made in a chat.
What the statuses mean
- Confirmed — the booking the bot made. Only confirmed bookings hold a place: the bot will not offer that time to someone else once it is full.
- Came — the customer attended.
- Did not come — a no-show.
- Cancelled — cancelled by the customer through the bot, or by your team here. The place becomes free again and the bot can offer it to other customers.
Because only Confirmed holds a place:
- Came and Did not come can be chosen only once the booking's start time has passed, so a future booking cannot lose its place by mistake.
- Cancelled frees the time at once for new bookings.
- Setting a booking back to Confirmed works only while that time still has room. If the bot has given the place to someone else meanwhile, the page shows "That time is already fully booked, so this booking cannot be confirmed again." and the status stays as it was.
How customers cancel
Customers manage bookings in the chat, not on this page:
- The customer writes to you and chooses the menu option for their bookings (for example My appointments, My reservation or My bookings), or types
menu/القائمةfirst to get the menu. - The bot lists their upcoming confirmed bookings (up to 10), with dates and times in the customer's language (Arabic or English) — the ones made in that same chat, or under the same phone number as on their contact profile.
- The customer picks one, then Cancel it or Keep it.
- A cancelled booking shows Cancelled here straight away (press Refresh).
To move a booking to another time, the customer cancels it and books again.
What happens next
- Changing a status here does not send anything to the customer. To tell them — for example that you had to cancel — click Open chat and write to them.
- Status changes are saved immediately; there is no Save button.
Time zone
The bot offers and books times in the time zone OmniBrand set for your bot (by default your workspace's time zone, or Riyadh time). The When column shows each time in that same time zone, whatever time zone your own device uses, and the line above the list names it — for example "Times in Asia/Riyadh (the business's time zone)". If your workspace has bots in different time zones, each row shows its time zone under the time instead.
Only From uses your device's clock: the list starts at midnight of that day where you are.
If something goes wrong
- No bookings in this period → widen Show or move From back; or no bot has booked anything yet.
- There is no Change status menu → your role cannot reply in the inbox; ask an Owner or Admin.
- Came / Did not come are greyed out, or "This booking has not started yet…" → the booking is in the future; wait until its time, or choose Cancelled if it will not happen.
- "That time is already fully booked, so this booking cannot be confirmed again." → the place was given to another customer; open the chat and offer another time.
- A booking has no Open chat link → it was not made in a chat. (If its chat has since been deleted, the link is still there but opens nothing.)
- A time looks wrong → see "Time zone" above.
Good to know
- The list shows at most 500 bookings at a time; choose a shorter period if you have more.
- Bots never book outside your working hours, on closed dates, or less than about an hour ahead.
